Corporate Meeting & Events Coordinator
(Temporary – 8 Month Assignment)
Pay: $40.00 – $48.00 per hour
Position Overview:
We are seeking a highly organized and detail-oriented Meetings & Events Coordinator to provide logistical, administrative, and on-site support for corporate meetings and events. This temporary role supports the planning and execution of in-person, virtual, and hybrid programs and works closely with internal stakeholders and third-party vendors to ensure seamless event delivery.
The ideal candidate has prior corporate meetings and event planning experience, strong project management skills, and the ability to manage multiple priorities in a fast-paced environment. This role requires excellent communication, attention to detail, and a proactive approach to problem-solving.
This is an 8-month temporary position with hands-on event support responsibilities.
Key Responsibilities
Coordinate and support the planning and execution of assigned corporate meetings and events.
Collaborate with internal stakeholders and external partners to ensure alignment on event objectives, logistics, and timelines.
Provide project management and planning support for in-person, virtual, and hybrid events.
Communicate event requirements to third-party vendors and partners.
Assist with hotel and vendor contract coordination and negotiations.
Manage event logistics including meeting space, audiovisual needs, food & beverage, printed materials, and room setups.
Compile and maintain housing and registration reports.
Coordinate event materials, supplies, and shipments while maintaining accurate inventory records.
Assist with travel arrangements and logistics for meetings and incentive programs.
Secure dinner reservations and coordinate group dining logistics when required.
Contact vendors for availability, pricing, and service coordination.
Review Banquet Event Orders (BEOs) prior to and during events to ensure accuracy.
Prepare and organize event materials including name badges, tent cards, and printed collateral.
Process invoices and payments accurately and in a timely manner.
Provide on-site event support, resolving any operational issues professionally and efficiently.
Maintain and organize meetings and events department digital files.
Qualifications
High School Diploma required; Bachelor’s degree preferred
1–3+ years of corporate meetings and event planning experience
Strong organizational skills with exceptional attention to detail
Excellent written and verbal communication skills
Proven ability to manage multiple projects and deadlines simultaneously
Strong collaboration and stakeholder management skills
Creative problem-solver with the ability to analyze information and make sound decisions
Resourceful and proactive in addressing challenges
