Position Summary

We are seeking a highly organized and professional Executive Administrative Assistant to provide high-level support to the President/CEO, CFTO, executive leadership team, Board of Directors, and affiliated leadership groups.

This role is responsible for managing complex schedules, coordinating meetings and communications, and supporting board operations. The ideal candidate is proactive, detail-oriented, and capable of handling sensitive and confidential information with discretion.

Key Responsibilities

  • Provide direct administrative support to the President/CEO and CFTO, including managing complex calendars, scheduling meetings, coordinating travel, and organizing events and off-site retreats

  • Serve as a liaison between executives, internal teams, board members, and external partners; screen calls and visitors with professionalism and tact

  • Draft, review, and manage communications on behalf of executives, including emails, memos, reports, and presentations

  • Coordinate logistics for executive and board meetings, including preparing materials, maintaining the board portal, and recording meeting minutes

  • Assist with preparation of annual budgets, financial audits, and corporate filings

  • Maintain and organize corporate records, including electronic and paper filing systems

  • Manage incoming mail, email, and general administrative tasks such as printing, copying, and shipping

  • Ensure the highest level of confidentiality when handling sensitive financial, legal, and personnel information

Qualifications

  • High School Diploma required

  • 5–8 years of executive-level administrative experience

  • Strong organizational skills with the ability to prioritize and work independently

  • Excellent written and verbal communication skills, including editing and proofreading

  • Proficiency in Microsoft Office Suite and ability to quickly learn new systems
